Marriner S. Eccles Library of Political Economy Scheduling Policy

  1. Policy Scope
    1. The Marriner S. Eccles Library of Political Economy Room 4290 is part of the J. Willard Marriott Library Special Collections.
    2. The primary purpose of the Eccles Library is to provide a teaching and research space for patrons using the Marriner S. Eccles archival collection in addition to housing his private office library collection, bound lectures and articles, and some personal effects.
    3. Additionally, the Eccles Library serves as a teaching and research space for the Special Collections Division’s broad collection of original and primary research resources.
    4. A secondary purpose provides a multipurpose space that can accommodate library employees, University departments, and researchers conducting University business.
    5. Access and scheduling policies are meant to preserve the library’s ability to fulfill its primary purpose, while also permitting secondary uses wherever practical and appropriate.
  2. Definitions
    For the purpose of this policy,
    1. Reservations by type:
      1. "Special Collections Research": A reservation to research collections held in the room or in Special Collections.  With the exception of group research sessions with a supervising Special Collections archivist or curator, or with other arrangements approved by the Associate Dean of Special Collections, use of the room with Special Collections materials (including from the Eccles library and archive) will be accessed in the Reading Room in accordance with standard policies to avoid unattended use of collection materials.
      2. "University Course": Offered by a degree or certificate granting program at the University of Utah.
      3. "Library Class": A training session taught or co-created by an employee of the J. Willard Marriott Library for the purpose of engaging material held within Special Collections, learning library research and technology skills, or to obtain information about library services and resources.
      4. "Library-Sponsored Event": a session proposed by a Library unit and receiving approval by the Library Events Committee, the Dean, or an Associate/Assistant Dean.
      5. "Single Event": All advanced reservations made more than two business days in advance and that are not part of a University Course or Library Class, including but not limited to lectures, meetings, workshops, or trainings.
    2. Groups by type:
      1. "Special Collections Employee": A benefitted employee of the Special Collections Division within the J. Willard Marriott Library who has access to Special Collections spaces and collections.
      2. "J. Willard Marriott Library Employee": Benefitted employees of the J. Willard Marriott Library Department outside of Special Collections.
      3. "University Department": A University of Utah academic unit (including colleges, schools, departments, and free-standing divisions), administrative office of academic units, general university administration, Continuing Education, and any other service, agency, and function of the university (including an institute, center, program, council, and faculty).
      4. "University of Utah Student, Staff or Faculty": A currently enrolled or employed student, staff or faculty member of the University of Utah.
  3. Policies
    1. The Eccles Library may be reserved for a Special Collections employee, a J. Willard Marriott Library employee, a University Department, or University of Utah student, staff, or faculty member for special collections research, a University course, library class, or single event that relates specifically to the Marriner S. Eccles collection or the broader Special Collections.  Please note that the Eccles Library cannot be reserved for open/general study.
    2. The Eccles Library may be reserved for a University of Utah Faculty member or University Department for a single event that supports research or University business but is not connected to the use of Special Collections.
    3. Furniture setup is self-service and should be left in good order (as originally found) following an event. The specialty furniture in the library allows limited reconfiguration.  The room cannot be supplemented with additional furniture to increase capacity.
    4. The capacity of the room includes seating for ten at the central board table, with additional chairs and seats around the perimeter.  The total capacity for the library is 18.
    5. Special Collection employees and J. Willard Marriott Library employees may reserve the library via the Classroom/Events Space Request Form at any point to meet the needs of the staff and faculty of the J. Willard Marriott Library.
    6. University of Utah Faculty members and University departments may reserve the library for single events no more than thirty days in advance using the Classroom/Events Space Request Form.
    7. Due to setup and planning constraints, no more than one event will be scheduled for the room in a given day.
    8. Catering with a University-approved vendor is permissible with approval through Library Facilities.  Resources include a buffet cabinet, a butler’s pantry, and access to a kitchen for warming, but no cooking or further preparation.  Coordination with Special Collections staff during business hours will be necessary for access.
    9. All details of a request, including catering details, must be submitted via the Classroom/Events Space Request Form. There is no charge to use the Eccles library. However, a billable chart field is required to confirm a reservation for departments not part of the Marriott Library. The Marriott Library reserves the right to cancel an event if the chart field provided is incorrect or is unknown.
    10. Coordinating with caterers and other outside service providers is the responsibility of the event organizers. Caterers and other outside service providers must use public entrances to the building and arrange access through Special Collections or the Events and Scheduling department. 
    11. The Eccles library can only be used during the posted public hours of the Marriott Library and are restricted to align with Special Collection business hours.
    12. Decorations or other modifications to the room are not allowed so that the furniture, artifacts, collections, and equipment may be preserved. Adhesive products such as cellophane tape, duct tape, and glues are not permitted, nor is it permitted to use nails, screws, or staples on the walls or ceiling. There can be no exceptions to this policy.
    13. All event attendees, whether or not affiliated with the University of Utah, are required to abide by the library’s Patron Policies & Responsibilities.  Special Collections reserves the right to suspend activities in the room if they are disruptive to researchers in the Reading Room.
    14. Buying or selling of goods or services and soliciting donations of any kind is not allowed in the Marriott Library without prior approval of the Director of Library Facilities.
    15. While media recording (e.g., recorded interviews and photography) is permitted in the room, the Library requests that the likeness of Marriner S. Eccles through his portrait or published caricatures not be captured in images.
    16. Additional audio amplification beyond the built-in technologies is not allowed due to surrounding research spaces.
    17. If the event creates a need for cleanup and custodial beyond typical daily maintenance, a $100 cleanup fee will be charged. 
    18. In unusual circumstances, events may be granted an exception to the policies listed but must be approved by Dean and University Librarian prior to reservation.
  4. Services Provided
    1. The Marriner S. Eccles Library of Political Economy has a 75" flat screen tv that accepts wireless connection to devices through an AppleTV for Apple devices or an AirMedia for other devices.
    2. The Marriner S. Eccles Library of Political Economy has a ten-seat meeting table and 6 additional chairs.
    3. The Marriner S. Eccles Library of Political Economy has an eight-foot-long buffet for food service in additional to a small pantry and wet bar.
    4. The Marriner S. Eccles Library of Political Economy has a kitchenette attached that can be used for back of house catering and food preparation. It is a warming kitchenette and cannot be used for cooking.
